Service Charges

In certain circumstances we apply a service charge for the services we provide.

Vivid Holiday’s Admin fee is R500 per person | Amendment Supplier charge R250 per person | R500 per person Cancellation fee

Confirmation Email and VISA documents/Tickets

Within 14 (fourteen) days of the Booking, the Client will be sent a Confirmation Invoice by email. As soon as the Client has paid a deposit or the full balance of the total advertised price of the Holiday in terms of paragraph Vivid Holidays will book the Holiday. Within 7 (seven) to 10 (ten) days of receipt of the deposit/full balance by Vivid Holidays, the Client will be sent confirmation of the Booking in writing or by email.

As soon as the Client has paid the full balance of the total price of the Holiday, Vivid Holidays will send the VISA documents to the Client within 5 - 7 working days. Any other outstanding documents will be sent to the Client by no later than 30 (thirty) days before the date on which the Holiday is scheduled to begin

Insurance

Vivid Holidays strongly recommends that travel insurance be purchased for the duration of the Client’s journey. Insurance can only be purchased prior to departure. Vivid Holidays urges the Client to take out additional insurance cover over and above the phase one insurance offered free as standard for international travel by the various credit card companies. The Client must check the specific details of the complimentary cover with his/her respective credit card company directly.

Vivid Holidays will not be responsible if the Client fails to take adequate insurance cover. Queries must be addressed to the principal insurer, as Vivid Holidays shall not in any way be held responsible for any and/or all information advanced by its staff in this regard.

Should the insurers dispute their liability for any reason, the Client will have recourse against the insurers only and Vivid Holidays will not be under any responsibility or liability whatsoever in relation thereto.

Air tickets:

Cancellation fees apply once air tickets are issued. The cancellation fees range between 25% up to 100% (plus VAT) of the total airfare paid, dependant on the class of travel and the airline concerned. Passengers are reminded that they are responsible for reconfirmation of flights and flight times at least 72 hours prior to departure to ensure the airline has had no schedule or time changes. Failure to reconfirm flights with the airline concerned could lead to the cancellation of the flight reservation 

 

Vivid Holidays is not responsible for the overbooking by airlines resulting in passengers being denied boarding. Providing passengers adhere to check in time, it is the airlines responsibility to reroute or rebook flights.

 

Amendments to airline tickets:

Once tickets have been issued; a cancellation fee will be levied by the relevant airline (this fee varies from airline to airline and can range from 25% up to 100% of the fare paid plus VAT) should any changes be requested. Such changes specifically include, but are not necessarily limited to, any changes which are required to be affected due to the incorrect spelling of a passenger’s name, change to travel dates or routing. In some cases, once issued, any changes will result in a 100% cancellation fee. Airlines are non-negotiable to changes post ticket issuance.

 

CANCELLATION AND AMENDMENTS

Amendments:

An amendment fee of a minimum of R250.00 will be charged for each amendment made to confirmed reservations, in addition to any amendment/cancellation fees the supplier may charge, and this will be advised prior to confirming the amendment. All changes are subject to availability, limitations and restrictions of the relevant travel supplier. The refundable portion of your purchase price (if any) will be refunded to you and to the extent we are refunded by the travel supplier; we shall pass this refund onto you, minus any applicable amendment fees. If the change means that the cost of your booking has increased, the difference will be passed onto you.

Cancellation by You
If you wish to cancel your booking you must advise your agent immediately, who will in turn advise us. Please note that you will be liable to pay the following cancellation charges, including but not limited to:
a) Where your booking includes a special fare, the airline levies the relevant charges. In some circumstances this may be 100% of the total fare, regardless of when cancellation is affected.
b) Where your booking is for a package, you will be responsible for all cancellation charges relating to the various components, of whatsoever nature, imposed by the suppliers providing the component parts of such travel arrangements.
c) Vivid Holidays reserves the right to charge an appropriate cancellation fee in its sole discretion, in particular circumstances. Any monies, which you have already paid to us, will be taken by us as payment or part payment of any cancellation charges.
11) Our Right to Change Your Travel Arrangements
a) A significant change to your travel arrangements would include a change in the departure date from South Africa; where the flight times are changed by more than 12 hours or a change to a lower standard of accommodation to that which is booked.
b) Every effort is made by Vivid Holidays to adhere to confirmed itineraries; however, we reserve the right to make changes to your travel arrangements should it become necessary to do so.
c) Should any travel component be confirmed by Vivid Holidays and this component is cancelled by the supplier for whatsoever reason, then in such instances Vivid Holidays will accept no liability for the cancellation thereof.
 
Airline Refund Procedures
a) Refund policies of the various airlines vary between airlines. Tickets returned to Vivid Holidays, will be presented to the relevant airline for assessment. Should a refund be authorised, such refund will be made to you by the airline, less any cancellation or administration charges.
b) If payment for the ticket was made to Vivid Holidays by credit card, the refund will be made to your credit card. Cash payments will be refunded by EFT.
c) Partly used tickets will be refunded at less than the pro rata rate on the face value of such ticket.
d) Refunds may take up to 12 weeks to process although this time frame cannot be guaranteed by Vivid Holidays
e) Unused tickets must be returned to Vivid Holidays for a refund within one year from the date of issue or they will be regarded as expired by the airline and have no refund value.

All deposits are non-refundable/non-transferable. In the event of a cancellation, the following cancellation fees will be imposed:

Where the standard deposit is increased to secure specific facilities including all flights, which are non-refundable in whole or part, then the scale of cancellation charges will be based on the % of the cost of all other arrangements, or loss of deposit, as applicable, and the non-refundable charges will be added to that cancellation charge to give the total charge.

Vivid Holiday’s cancellation charges are a percentage of the total holiday cost, not including any flight costs or insurance premiums, which are non-refundable. These charges are based on how many days before departure the Client’s cancellation notice is received and not the date on which the correspondence was sent.

Insurance premiums and amendment charges are not refundable in the event of the person(s) to whom they apply cancelling.

No refunds will be made in relation to the return part or any other unused part of a ticket.

Possible Changes/Cancellation by Vivid Holidays:

Vivid Holidays and its service providers reserve the right to cancel any reservations prior to departure; in which event the entire payment will be refunded without any further obligation. The duration of the package may have to be extended or curtailed owing to unforeseen changes in transportation schedules. Any resultant expense shall be borne by the passenger and any saving refunded.

 

LIMITATION OF LIABILITY

Subject to the provisions of Section 61 of the Consumer Protection Act 61 of 2008, Vivid Holidays, its employees, agents, service providers and related company or representative shall not be responsible for, and shall be exempt from all liability in respect of loss (financial or otherwise), damage, accident, injury, illness, harm, trauma, death, delay or inconvenience to or additional expense incurred by the Client (which shall be deemed to include the heirs, executors, administrators or assigns by the Client whether on the Holiday or not), to or of their luggage, or other property, howsoever caused w here such loss, damage, accident, injury, illness, harm, trauma, death, delay or inconvenience to or additional expense incurred is not due to the act, omission, negligence or recklessness of Vivid Holidays, its employees, agents or service providers. The airlines concerned are not to be held responsible for any act, omission or event during the time the passengers are not aboard their aircraft.

 

Confidentiality:

Subject to statutory constraints or compliance with an order of court, Vivid Holidays undertakes to deal with all Client information of a personal nature on a strictly confidential basis.
